These Terms of Service (“Terms”) explain your rights and responsibilities when using our website, participating in our community, or purchasing our products and memberships.
Please read them carefully. By accessing or using our Services, you agree to these Terms.
Writing Woods (“we,” “us,” or “our”) operates writingwoods.com and its associated online communities, memberships, resources, and services (collectively, the “Services”).
Our Services include:
Some features require an account or paid membership. The availability of particular features may change over time.
Writing Woods operates in Tennessee, United States.

You must be at least 18 years old to register for an account or participate in our community.
By using the Services, you confirm that:
If you do not agree to these Terms, you must discontinue using the Services.
We may update these Terms as our Services or legal obligations change. The date at the top of this page identifies the latest revision.
For material changes affecting your rights or obligations, we will take reasonable steps to notify affected members. Continued use of the Services after revised Terms take effect constitutes acceptance of those changes to the extent permitted by law.
Some features of the Writing Woods require registration.
When creating an account, you agree to provide accurate information, keep your login credentials secure, and notify us if you suspect unauthorized access.
Accounts are intended for individual use. You may not sell, transfer, or share your account with another person without our permission.
You are responsible for activity conducted through your account, except to the extent that applicable law provides otherwise.
We may require changes to usernames or profile information that impersonate others, mislead members, or violate our community standards.
Membership in the free Writing Woods community does not require a paid subscription.
Free members may participate in the features made available to them, subject to these Terms, our community rules, and any applicable access restrictions.
Camp is an optional paid membership offering additional opportunities for writers to connect and write together.
Camp features may include live writing sessions, group gatherings, member-hosted sessions, and other community activities.
Participation is voluntary. We do not guarantee any particular writing outcome, publication opportunity, level of individual attention, or number of other members attending an activity.
Additional payment and cancellation terms are provided in Sections 4 and 5.
Cancelling Camp does not automatically delete your Writing Woods account. You may continue using the free community after your paid access ends, provided your account remains in good standing.
We may offer paid memberships and digital products through our website.
Prices, descriptions, and applicable purchase terms will be displayed before checkout. Unless otherwise stated, prices are listed in US dollars.
By making a purchase, you agree to provide accurate billing information and authorize the applicable payment processor to charge your selected payment method for the amounts disclosed at checkout.
Payments may be processed through third-party providers. Their services are subject to their own applicable terms and privacy practices.
We do not guarantee that every payment method will be available for every purchase.
Applicable taxes, if any, will be disclosed and collected as required by law.
We may correct pricing errors, update product descriptions, or discontinue offerings. If a material error affects a completed purchase, we will contact you and provide any remedy required by applicable law.
When you purchase a downloadable or otherwise accessible digital product, you receive the access or usage rights described at checkout and in any product-specific terms.
Unless we expressly state otherwise, purchasing a digital product grants you a personal, non-exclusive, non-transferable license to use it for its intended purpose.
You may not resell, redistribute, publicly share, or commercially reproduce our paid digital products without permission, except as authorized by applicable law.
We will disclose material access restrictions, delivery arrangements, and any additional product-specific conditions before purchase.
Camp memberships are billed monthly and automatically renew unless cancelled.
By subscribing, you authorize recurring charges to your selected payment method at the rate and frequency disclosed during checkout.
Your subscription continues until cancelled or otherwise terminated in accordance with these Terms.
We will present the recurring payment terms and cancellation information before you complete your purchase.
You may cancel your Camp membership at any time through the subscription management options in your Writing Woods account.
You may also contact info@writingwoods.com for assistance.
Cancellation prevents future recurring charges, provided it is completed before the next scheduled renewal.
Your paid Camp access ordinarily continues through the end of the billing period you have already purchased.
When your paid membership ends, you may retain access to the free Writing Woods community unless your account has been separately suspended, restricted, or terminated.
Payments are generally non-refundable.
We do not ordinarily provide refunds or prorated credits for unused membership time, missed sessions, or a decision to stop participating before the end of a billing period.
Exceptions may be made at our discretion or where required by applicable law.
If we terminate a paid membership because of a violation of these Terms or our community rules, a refund is not automatically provided. We may determine whether a refund or partial refund is appropriate based on the circumstances and applicable law.
This policy does not limit any refund, cancellation, or consumer protection rights that cannot legally be waived.
We may change Camp membership prices.
Price changes will be communicated to affected subscribers in advance, as required by applicable law.
Any change to your recurring subscription price will be handled in accordance with applicable notice and consent requirements.
If a recurring payment fails, we or our payment processor may attempt to collect the outstanding amount again.
We may suspend or limit paid membership access while payment remains unresolved.
You can update your payment information through the available account or payment management options.
The Writing Woods exists to support meaningful connections, thoughtful discussion, and creative growth.
We expect members to participate respectfully and in good faith.
By using our Services, you agree not to:
Disagreement and constructive criticism are welcome. Personal attacks, harassment, and attempts to humiliate others are not.
Additional expectations may be described in our Community Guidelines and in rules applicable to particular groups or activities.
We may enforce those rules as part of our responsibility to maintain a safe and functional community.
Members may share relevant resources, professional experiences, and opportunities when appropriate to the discussion.
However, you may not use the community primarily for advertising, unsolicited sales messages, mass solicitation, or other promotional activity that disrupts its intended purpose.
We may limit or remove promotional content that violates our community standards.
Our Services allow members to create, upload, publish, and share content through forums, groups, profiles, messaging features, and other interactive areas.
This material may include manuscripts, writing excerpts, critiques, comments, photographs, graphics, audio, video, and other original materials (collectively, “Contributions”).
You retain ownership of the original content you create and share through the Writing Woods, subject to any rights held by third parties.
Posting your work does not transfer copyright or other intellectual property ownership to us.
You remain free to revise, publish, sell, license, or otherwise use your own creative work.
By sharing Contributions, you confirm that:
You are responsible for the content you choose to share.
We encourage members to maintain their own copies of important manuscripts, critiques, and other creative materials.
The visibility of Contributions depends on where they are shared and the applicable privacy settings.
Material posted in public areas may be accessible to visitors who are not registered members.
Material shared in private or restricted areas is intended to be accessible only to authorized participants and to administrators, moderators, and service providers as reasonably necessary to operate, secure, support, or moderate the Services.
We will not intentionally make Contributions from private or restricted areas publicly available without appropriate authorization, except as required by law or where reasonably necessary to address legal or security obligations.
However, we cannot guarantee that other members will maintain confidentiality or refrain from copying, recording, or disclosing content they can access.
Please use discretion when sharing unpublished manuscripts, sensitive information, or other material you wish to keep private.
Access to another member’s Contributions does not give you ownership of that material or unrestricted permission to use it.
Unless you have the owner’s permission or another lawful basis, you may not:
Reasonable quotation and discussion within an authorized community space are permitted when consistent with the purpose of the discussion and applicable law.
The Writing Woods recognizes that members may have different preferences and boundaries concerning artificial intelligence tools.
You may not upload, submit, or otherwise provide another member’s unpublished creative writing, critiques, or other original creative material to an external artificial intelligence service without that member’s explicit permission.
Permission must be obtained before the material is submitted, even when your intention is to provide feedback, generate a summary, or improve a critique.
This restriction does not prohibit you from using AI tools with your own work or with material you are otherwise authorized to use, subject to applicable law and any additional community rules.
Nothing in these Terms grants Writing Woods or other members permission to use your original creative work to train external AI models.
We are not required to publish, maintain, or continue displaying any particular Contribution.
We may review, restrict, move, edit for administrative purposes, or remove Contributions when reasonably necessary to enforce our policies, respond to legal complaints, or maintain the proper functioning of the Services.
Our moderation rights do not transfer ownership of your Contributions to us.
To operate the Writing Woods, we need limited permission to store, display, and technically process the content members share.
By submitting Contributions, you grant Writing Woods a non-exclusive, worldwide, royalty-free license to host, store, reproduce, transmit, process, format, display, and maintain those Contributions solely as reasonably necessary to operate, provide, maintain, secure, and support our Services.
This includes permission to:
We may use service providers to perform these functions on our behalf, subject to appropriate contractual and data protection safeguards.
This license does not transfer ownership of your Contributions to Writing Woods.
Without separate, explicit permission, we will not:
This license continues for as long as reasonably necessary to provide the Services and fulfill the purposes described above.
When a Contribution is deleted from the active Services, the license ends with respect to that deleted material, except as reasonably necessary to maintain temporary backups, comply with legal obligations, address security or disputes, or otherwise fulfill legitimate retention requirements.
Contributions that remain available through the Services, including content retained as part of community discussions following account deletion, remain subject to this limited license.
Any retained Contributions remain subject to the restrictions in this section.
Camp may provide opportunities to participate in live writing sessions, workshops, discussions, guest conversations, and other gatherings.
Participation is voluntary.
Members are responsible for choosing what they share during gatherings and for respecting the boundaries and privacy of other participants.
Camp members may be permitted to organize and host their own writing sessions or other community gatherings.
Member-hosted activities must comply with these Terms, our Community Guidelines, and any applicable safety or participation requirements.
Member-hosted sessions are not necessarily organized, supervised, or facilitated by Writing Woods.
We may restrict, modify, or discontinue a member-hosted activity when reasonably necessary to protect participants or maintain community standards.
Hosting a session does not create an employment, agency, or partnership relationship between the host and Writing Woods.
Regular Camp writing sessions are not ordinarily recorded by Writing Woods.
Some special sessions, including guest conversations or educational events, may be recorded.
When Writing Woods plans to record a session, we will provide notice to participants before recording begins or otherwise obtain appropriate permission.
Participants may be offered ways to limit their participation in the recording, depending on the format of the session.
We will not use identifiable recordings of members in public promotional materials without appropriate permission.
Members may not independently record, livestream, or distribute another participant’s voice, image, writing, or private discussion without appropriate consent.
Session schedules, hosts, formats, and availability may change.
Although we make reasonable efforts to provide the activities described in our membership offerings, we cannot guarantee that every scheduled session will occur or that particular hosts, guests, or members will attend.
Participation in the community does not guarantee publication, professional opportunities, writing productivity, or any particular result.
Writing Woods owns or licenses the intellectual property associated with our Services, including our original website content, software, designs, graphics, educational materials, audio, video, branding, logos, and other materials created or provided by us (“Our Content”).
Our Content does not include original Contributions owned by members.
Our Content and trademarks are protected by applicable copyright, trademark, and other intellectual property laws.
Subject to compliance with these Terms, we grant you a limited, non-exclusive, non-transferable, revocable license to access and use the Services for their intended purposes.
Unless we provide permission or applicable law allows otherwise, you may not reproduce, distribute, sell, republish, or commercially exploit Our Content.
If you would like permission to use our materials or branding, please contact info@writingwoods.com.
If you voluntarily send us ideas, suggestions, or feedback specifically about improving our Services, you grant us a non-exclusive, perpetual, worldwide, royalty-free license to use and implement that feedback for operating and improving the Services without compensation.
This does not transfer ownership of your feedback to us.
Manuscripts, writing excerpts, critiques, and other original creative materials are treated as Contributions rather than general service feedback, even when provided during discussions or consultations.
You agree not to interfere with the operation, security, or availability of the Services.
Without authorization, you may not:
Ordinary use of internet browsers, search engines, and accessibility tools is not prohibited by this section.
We may take reasonable technical and administrative measures to prevent abuse and protect the Services.
We reserve the right, but do not assume a general obligation, to review and moderate content or activity on our Services.
Depending on the circumstances, we may:
We aim to respond proportionately to the nature and seriousness of a violation, but we are not required to issue a warning before taking action.
We may act immediately when reasonably necessary to address harassment, safety concerns, serious misconduct, legal obligations, or threats to the Services.
Members who have been suspended or removed may not create another account to evade those restrictions without our permission.
Moderation decisions are made to support the safety, integrity, and intended purpose of the community.
We do not guarantee that every violation will be detected or that every dispute between members can be resolved.
If you have concerns about another member’s conduct, please use the available reporting tools or contact us directly.
You may request deletion of your Writing Woods account through the available account settings or by contacting us.
You may also request an export of your account data using the tools provided in your account settings, subject to the applicable verification and review process.
Account deletion is separate from cancelling a paid Camp membership.
When you delete your account, we will delete or deidentify associated personal information where practicable, subject to applicable law and legitimate retention requirements.
Certain information may be retained when reasonably necessary for legal compliance, accounting, security, fraud prevention, dispute resolution, or other legitimate purposes described in our Privacy Policy.
Deleting your account does not necessarily remove every Contribution you previously made.
Some posts, replies, and other material may remain available within existing community discussions, with attribution removed or replaced by a designation such as “Deleted User.”
This helps preserve the context and continuity of discussions involving other members.
Anonymized attribution does not necessarily mean that the content itself contains no identifying information, particularly if you included personal details in the original Contribution.
If you want particular Contributions removed, we encourage you to review and delete them before closing your account or contact us about a specific removal request.
We will evaluate requests in accordance with applicable law, our technical capabilities, and the rights and interests of other members.
Deleted information may remain temporarily in routine backups until those backups are replaced or deleted under our normal retention procedures.
We do not use retained copies of your creative work for unrelated commercial purposes.
For additional information about personal data, retention, and your privacy rights, please review our Privacy Policy.
We respect the intellectual property rights of writers and other creators.
If you believe that material available through our Services infringes a copyright you own or are authorized to enforce, please contact us at info@writingwoods.com.
Please provide enough information for us to identify the work, locate the allegedly infringing material, and understand your claim.
A copyright complaint should include, where applicable:
We may remove or disable access to material in response to copyright complaints and may notify the member who provided the material.
Where applicable, we will follow the notice and counter-notification procedures established by copyright law.
We maintain a policy of terminating, in appropriate circumstances, accounts of users who repeatedly infringe intellectual property rights.
Knowingly submitting false or misleading infringement claims may carry legal consequences.
Our Services may include links to external websites or integrate tools operated by third parties, such as payment processors, video conferencing platforms, and other technical service providers.
These third parties may have their own terms, policies, and practices.
We are not responsible for the independent content, policies, or actions of external websites and services that we do not control.
A link to an external resource does not necessarily constitute an endorsement.
You are responsible for reviewing the terms and policies of third-party services you choose to use.
Our handling of personal information associated with third-party services is described in our Privacy Policy.
Your privacy matters to us.
Our Privacy Policy explains how we collect, use, disclose, and retain personal information and describes the privacy rights and choices available to you.
By using the Services, you acknowledge that your personal information will be handled as described in that policy, subject to applicable law.
Our Services operate from the United States, and personal information may be processed or stored there or in other locations where our authorized service providers operate.
When you register for an account, make a purchase, or communicate with us electronically, you agree that we may send you electronic notices and communications relating to your account, transactions, memberships, and operation of the Services, as permitted or required by law.
Electronic records, agreements, and notices may satisfy applicable requirements for written communications and signatures.
We may send transactional, account-related, and service communications necessary to operate the Services.
Marketing emails and optional community updates are managed separately, subject to your preferences and applicable law.
You may unsubscribe from marketing communications through the links provided in those messages or other available preference controls.
If you separately opt in to receive SMS messages from Writing Woods, you agree to receive text messages at the mobile number you provide.
Messages may include community updates, event notifications, Camp enrollment information, and promotional offers, depending on the consent you provide.
Consent to receive promotional text messages is not required to purchase products or memberships.
Message frequency varies. Message and data rates may apply.
You may opt out by replying STOP.
For assistance, reply HELP or contact info@writingwoods.com.
Carriers are not responsible for delayed or undelivered messages.
We work to keep the Writing Woods available and functioning, but we cannot guarantee uninterrupted access.
The Services may occasionally be unavailable because of maintenance, technical problems, security issues, provider outages, or circumstances outside our reasonable control.
We may update, modify, replace, or discontinue features as our community and Services evolve.
When a material change substantially affects an existing paid membership or purchased product, we will provide notice or other remedies as required by applicable law.
We are not obligated to maintain any particular free feature indefinitely.
Members are encouraged to keep their own copies of important creative work and other materials.
The Writing Woods provides a platform for community interaction, education, creative discussion, and writing-related activities.
We do not guarantee any particular result from participating in our Services, including publication, writing improvement, professional opportunities, or financial success.
Opinions, advice, critiques, and other content shared by members or guests represent the views of their respective contributors and do not necessarily reflect those of Writing Woods.
We do not independently verify every statement made by members and are not responsible for their independent actions.
To the fullest extent permitted by applicable law, the Services are provided on an “as is” and “as available” basis, without warranties of uninterrupted availability, error-free operation, or fitness for a particular purpose.
Nothing in these Terms excludes warranties, guarantees, or other protections that cannot legally be disclaimed.
To the fullest extent permitted by applicable law, Writing Woods and its owners, employees, agents, and authorized representatives will not be liable for indirect, incidental, consequential, special, or punitive damages arising from the use of our Services, including lost profits, lost opportunities, or loss of data.
To the extent permitted by law, our aggregate liability for claims arising from the Services will not exceed the amount you paid directly to Writing Woods during the six months preceding the event giving rise to the claim.
These limitations do not apply where prohibited by law, including to liabilities that cannot legally be excluded or restricted.
Nothing in this section limits your non-waivable consumer protection or statutory rights.
To the extent permitted by law, you agree to indemnify and hold harmless Writing Woods and its owners, employees, and authorized representatives from third-party claims, damages, liabilities, and reasonable legal expenses arising from:
This obligation applies only to the extent the claim arises from conduct or material for which you are legally responsible.
It does not require you to indemnify Writing Woods for our own negligence, unlawful conduct, or other liability that cannot lawfully be transferred to you.
We will provide reasonable notice of covered claims when practicable and allow appropriate participation in their defense, subject to applicable law.
These Terms are governed by the laws of the State of Tennessee, United States, without regard to conflict-of-law principles, except where other laws must apply.
If a disagreement arises concerning these Terms or the Services, we encourage you to contact us first so we can attempt to resolve the matter informally.
You may contact us at info@writingwoods.com.
If a dispute cannot be resolved informally, it may be brought before an appropriate court with jurisdiction over the matter.
There is no mandatory arbitration requirement under these Terms.
Nothing in this section prevents either party from pursuing rights or remedies available under applicable law, including small claims procedures or consumer protection remedies.
These Terms, together with applicable purchase terms and any community or service-specific rules expressly made part of them, constitute the agreement governing your use of the Services.
If any provision of these Terms is found unlawful or unenforceable, the remaining provisions will continue in effect to the extent permitted by law.
Our failure to enforce a provision of these Terms does not constitute a waiver of our right to enforce it later.
We may transfer our rights and obligations under these Terms as part of a legitimate business reorganization, transfer, or sale, subject to applicable law.
You may not assign your rights or obligations under these Terms without our prior written consent, except where applicable law provides otherwise.
Using the Services, participating in the community, or hosting a member-led activity does not create an employment, partnership, agency, or joint venture relationship between you and Writing Woods.
We are not responsible for delays or failures caused by circumstances beyond our reasonable control, except where applicable law requires otherwise.
If you have questions about these Terms, your membership, or the Services, please contact us.

The Writing Woods (“Writing Woods,” “we,” “us,” or “our”) is an online community and collection of services for writers, available at writingwoods.com. This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you visit our website, create an account, participate in the Writing Woods community, join Camp, attend events, subscribe to communications, or otherwise use our services (collectively, the “Services”).
We want you to understand what happens to your information, particularly when you share writing or participate in community discussions. Please read this policy alongside our Terms of Service and Cookie Notice.
If you have questions or want to exercise a privacy right, contact info@writingwoods.com or visit our contact page.
When you use our Services, our website and its service providers may process your IP address, browser and device information, operating system, referring pages, pages requested, access times, security and diagnostic events, and information needed to operate login sessions and site features. We may infer an approximate geographic area from your IP address, but we do not represent that the Writing Woods requires GPS or precise-device-location access.
We also use cookies and similar technologies, as described in Section 8 and our Cookie Notice.
We may receive limited information from providers that help operate the Services, such as payment confirmations or subscription status from Stripe, delivery or subscription status from Brevo, and event or recording information from Zoom. The information available to us depends on the feature you use and the provider involved.
We use personal information as reasonably necessary to:
We do not use unpublished member writing as a product for sale or grant advertisers access to private community writing as part of our ordinary operations. Sharing your writing in the community does not transfer ownership of that writing to us; the permissions needed to display and operate community content are addressed in our Terms of Service.
The Writing Woods includes public-facing areas, member-only areas, and restricted groups such as Camp. What other people can see depends on the area where you post, its access settings, and the information you choose to share. Some profile details or contributions may be visible to other members, and content in publicly accessible areas may be visible to visitors and search engines.
Posts, replies, uploaded writing, profile information, and other contributions may be seen, copied, quoted, or saved by people who have access to them. Restricted or private group settings limit intended access but cannot guarantee that another participant will not disclose content outside the group. Please do not post information you cannot safely share with the intended audience.
Private messages are intended for communication between the participants. They are stored within our website’s systems and are not end-to-end encrypted. We do not routinely review private conversations. Authorized administrators may have technical access to stored messages and may review them when reasonably necessary to investigate reports, address security issues, comply with legal obligations, or provide technical support.
If you opt to participate in Cross Paths, the Camp guide may use profile or participation details to arrange introductions between members. Information shared through an introduction or subsequent conversation is visible to the people involved, subject to the feature’s settings.
We may review, hide, remove, or retain relevant content as needed to enforce our rules, respond to reports, investigate safety concerns, or comply with law. Other members may report content to us. We encourage members to obtain permission before sharing another person’s unpublished work outside the community.
Camp is a paid part of the Writing Woods. We use Paid Memberships Pro and Stripe-supported payment workflows to administer memberships, purchases, recurring charges, and related records.
Stripe processes payment details under its own privacy practices. We receive information needed to confirm and administer payments, such as transaction identifiers, amounts, dates, and subscription status. We do not directly store complete payment card numbers or card security codes. For more information, see Stripe’s Privacy Policy.
Cancellation or expiration of Camp membership may end access to Camp-specific areas without automatically deleting your wider Writing Woods account or its associated content. Records required for billing, taxes, accounting, disputes, or fraud prevention may be retained after cancellation or account deletion.
We use Zoom for live community writing sessions and other online events. Joining a Zoom session may involve sharing your display name, audio, video, chat messages, or other information with the host, participants, and Zoom, depending on your choices and the meeting settings.
The Writing Woods does not routinely record regular Camp writing sessions. We may record special Camp guest sessions so Camp members can view them afterward. Participants will be informed when a guest session is being recorded and may choose to attend with their cameras and microphones off. Turning off your camera or microphone can reduce what is captured, but may not prevent your display name, chat messages, reactions, or other on-screen activity from appearing in a recording. You may choose not to attend a recorded session. The recording platform may display its own recording notice or consent prompt.
A recording may capture participant names, voices, images, chat, and other material visible or audible during the session. Guest-session recordings may be stored on local computer drives, in Zoom cloud storage, and potentially as unlisted YouTube videos. Recordings are intended for Camp members, and we share access information through Camp-related channels. However, an unlisted YouTube video is not private: anyone with its link may be able to view or share it. We therefore cannot guarantee that a recording’s audience will remain limited to Camp members once a link is shared.
Recordings may remain available while useful to Camp and may be removed or relocated at our discretion, subject to applicable obligations. Any separate permission or consent required for a particular recording will be handled through the event notice or meeting process. If you are concerned about information captured in a recording, contact us. See Zoom’s Privacy Statement and Google’s Privacy Policy for their practices.
Joining the Writing Woods does not automatically subscribe you to the Trail Journal. During registration, Trail Journal sign-up is offered through a separate checkbox that is unchecked by default. You can also subscribe through a dedicated sign-up form. You can unsubscribe from promotional email using the link in those messages.
We use Brevo to manage email subscriptions, automated messages, and email delivery. Brevo may process contact details, subscription preferences, delivery status, and email interactions such as opens and clicks where tracking is enabled. See Brevo’s Privacy Policy.
We may send non-promotional messages necessary to administer your account or membership, including verification messages, password resets, receipts, membership information, and important service updates. Community notifications, reminders, and digests may also be sent according to available settings and the type of communication. You can manage applicable notification preferences in your account, though essential service communications may still be sent.
If we offer SMS communications, we send them only where you have separately opted in or as otherwise permitted by applicable law. You can withdraw consent by replying STOP to an eligible message. Message and data rates may apply. We use your mobile number and consent records to deliver and administer the messaging program.
We do not sell or share mobile opt-in information or SMS consent with third parties for their own marketing. Information may be processed by messaging service providers and carriers solely as needed to operate and deliver the program, or disclosed when required by law.
We use third parties to support our Services. Depending on which features you use and how they are configured, categories of providers may include:
These providers may process information to deliver services to us and may have their own privacy policies. We seek to limit the personal information provided to what is needed for the relevant function.
We may also disclose information to other community members according to the visibility of the content you share; to professional advisers or authorities when reasonably necessary or legally required; to enforce our terms or protect rights and safety; or in connection with a merger, sale, restructuring, or transfer of our operations, subject to applicable law.
We do not sell member personal information as a business product. This statement does not by itself determine whether particular analytics technologies constitute “sharing” or targeted advertising under every privacy law; applicable opt-out rights are addressed below.
We use cookies and similar technologies for login sessions, authentication, website functionality, security, and user preferences. We also use Google Analytics to understand website traffic and usage. Google Analytics may process information such as browsing events, device and browser characteristics, and approximate location derived from network information, subject to its configuration and Google’s practices.
We will update our disclosures if our analytics or tracking practices change.
You can adjust cookie preferences where controls are provided and can use browser settings to restrict or delete cookies. Blocking essential cookies may interfere with login or account features. You may also use Google’s Analytics opt-out browser add-on where supported. For additional information, see our Cookie Notice and Google’s Privacy Policy.
Some browsers send a Do Not Track signal. There is no single universally implemented interpretation of that setting, and we do not promise that our website responds to every such signal. Where applicable law requires recognition of a valid opt-out preference signal, we will handle it as required by that law.
We use reasonable administrative, technical, and organizational measures designed to help protect personal information, including access controls and website security tools. No website, transmission, or storage system can be guaranteed completely secure. Please use a strong, unique password and contact us if you suspect unauthorized account activity.
The Writing Woods operates from the United States. Our hosting and service providers may process or store information in the United States or other countries in which they operate. Privacy protections may differ from those in your country. Where required by applicable law, we rely on appropriate legal mechanisms for international transfers.
We keep personal information for as long as reasonably necessary for the purposes described in this policy, including providing an active account or membership, maintaining community discussions, administering communications, complying with law, resolving disputes, and protecting our Services.
Different kinds of information may have different retention periods. For example:
When information is no longer needed, we take reasonable steps to delete it or make it no longer identifiable, unless further retention is legally permitted or required.
You may use the available account settings to request or initiate deletion of your account, or contact us for assistance. Account deletion is not reversible.
Some community contributions, including forum replies, may remain after an account is deleted and may be displayed under the name “Deleted User” to preserve discussions. The content of a retained contribution may still identify you if you included identifying details in it. We cannot promise that deleting an account automatically removes every post, reply, message, file, quotation, or copy of content previously shared.
The handling of content may differ depending on the deletion process and content type. If you want particular posts, uploaded materials, or other contributions removed, please contact us with sufficient details to locate them, preferably before deleting your account. We will review requests in accordance with applicable law, community needs, and any applicable exceptions.
Some information may also remain in backups, records of payments and consent, legal or security records, or copies saved by others. We cannot retrieve information that has already been permanently deleted.
You can view and update available account and profile information in your account settings. The Writing Woods also provides a Request an export of your data option in account settings.
To request an export, submit the request through your account. We send an email for verification. After you verify the request, a website administrator reviews it. If approved, an archive of available personal data is generated and an email is sent with instructions to obtain it. The export may not include every piece of content or every record maintained by separate service providers.
You may also contact info@writingwoods.com to ask to access, correct, or delete personal information, or to request help with an export. We may need to verify your identity and may decline or limit a request when permitted or required by law.
Depending on your location and the laws applicable to the Writing Woods, you may have the right to:
These rights are not absolute and may depend on whether a particular law applies to our business. For example, US state privacy laws have different eligibility thresholds, definitions, exceptions, and procedures. We will honor requests and applicable opt-out preference signals to the extent required by law.
You may submit a privacy request at writingwoods.com/contact or by emailing info@writingwoods.com. You do not need to maintain an account to contact us about privacy rights. Depending on the request, we may need to verify your identity or your authority to act for another person. Any additional information collected for verification will be used for that purpose and related security needs.
Where applicable law permits, an authorized agent may submit a request on your behalf. We may ask for evidence of authorization and verification of your identity as allowed by law. If we deny or limit a request, we will explain our decision when required. Where an appeal right applies, you may appeal by emailing info@writingwoods.com; we will describe any further rights available under applicable law.
If the European Economic Area, United Kingdom, or other laws requiring specified processing grounds apply, our grounds may include performance of a contract (providing an account or purchased membership); legitimate interests (operating and securing the community, preventing abuse, and improving the Services where those interests are not overridden); consent (such as optional promotional communications or processing that legally requires it); legal obligations (such as required recordkeeping); and, where relevant, vital interests.
Where we rely on consent, you may withdraw it for future processing, without affecting processing already lawfully performed. Email unsubscribe links, SMS STOP instructions, and applicable account preference settings provide ways to change certain choices.
If you believe we have mishandled your personal information, contact us. Where applicable, you may also complain to the privacy regulator in your jurisdiction, including an EU/EEA data protection authority or the UK Information Commissioner’s Office.
The Writing Woods is intended for adults. We do not knowingly solicit personal information from or offer community accounts to children under 18. If we learn that a minor has provided personal information in violation of our age requirements, we will take reasonable steps to address the account and information, subject to applicable law. Please contact us if you believe this has occurred.
We may revise this Privacy Policy as our practices, services, or legal obligations change. The updated version will show a new date at the top of this page. For material changes, we may provide additional notice through the website or by contacting members when appropriate.
